The complete guide to using Squadio

What Squadio is

Squadio replaces the training/match schedule an academy used to keep in Excel or on paper, with a shared weekly board visible to all staff, complete with a change history, statistics, and the ability to publish it to parents/athletes.

Multiple academies (multi-tenant)

The same system serves multiple academies, each on its own subdomain. Each academy sees only its own teams, staff, weeks and users — there's no crossover of data between academies.

User roles

Within an academy there are three roles: Admin, Coach and Athlete. Covered in detail in the Users & Permissions section. There is also the platform owner (Super Admin), who manages the academies themselves — see Platform.

Language & appearance

The app supports Greek and English, switchable from the user menu. A dark appearance theme is also supported, and the device remembers it on later visits.

Creating weeks

Weeks are created one after another; the next available Monday is suggested automatically as the start date. When creating one, you can choose to copy over all of the previous week's entries, so the new schedule doesn't start empty.

Entries & types

Every entry has a type — Training, Match, Friendly, Tournament, National Team, Day Off, Off-Season or Custom — and, depending on the type, a start/end time, pitch, opponent, home/away, and notes. Multiple entries can be selected together for bulk deletion.

Lineup & roster

Starters and substitutes can be added to any entry, automatically sorted by position. Injured players show a red badge on their photo — hover it for the reason, since when, and who set it — and are excluded from selection unless explicitly marked selectable despite the injury.

Week / month / day view

The schedule can be viewed as a full week, as a monthly calendar with a summary entry count per day, or as a single day — handy on mobile.

Copying a day / week

All of a day's entries can be copied to another day in the same week. A team can also copy its entire schedule to a different week, so recurring schedules don't need to be rewritten from scratch every time.

Week notes

Every week has a free-text notes field, visible to all staff, for general announcements that don't belong to a specific entry.

History & undo

Every entry creation, update or deletion is logged with who did it and when. Deletions and updates can be undone, individually or in bulk.

Live updates

The page periodically checks whether someone else edited the same schedule, and refreshes itself — so two people never see stale data, without needing a manual refresh.

Marking attendance

For any entry, every player on the roster can be marked Present, Absent, Late, or Excused. The change saves immediately, with no separate save button.

Attendance rates

Each player gets an attendance rate computed from their history, making it easy to spot who's missing sessions consistently.

Recent activity

A feed of the most recent attendance changes appears alongside the roster. The super admin can delete individual entries from this feed.

Publishing the schedule

A week's schedule can be published as a report to parents/athletes, with a preview before the final publish.

PDF export

The weekly schedule, as well as statistics per coach or team, export to a print- or share-ready PDF.

Excel export

The same schedule and statistics also export to an Excel sheet, for further editing or archiving outside the app.

Teams

Teams (e.g. age groups) are the rows of the schedule. Each team has a code, a display order, and the staff who cover it.

Staff & specialties

Every staff member (coach, assistant, fitness trainer, etc.) has a specialty and can cover one or more teams. Specialties are defined centrally with their own sort order.

Players

Every player has a photo, jersey number, position, and an optional injury note. An injured player shows a red badge wherever their photo appears, and can still be kept selectable for entries if explicitly set.

Pitches

The list of available pitches is used in schedule entries and in detecting conflicts (two teams on the same pitch, at the same time).

Seasons

Competitive seasons bound an academy's weeks in time.

Schedule coverage

The percentage of team/day combinations that have real activity (day off and off-season don't count as coverage).

Games & training hours

Number of games per type (official, friendly, tournament, national team) and total training hours, calculated from each training's start/end times.

Gaps & pitch conflicts

"Gaps" are team/day combinations with no activity entry. "Conflicts" are two teams using the same pitch with overlapping times, on the same day.

Coach workload

Entry count, hours, and breakdown by type/day for each coach, based on the teams they cover.

Team consistency

Coverage percentage per team over the last 6 weeks, showing whether a team's schedule has been stable or erratic over time.

Recent changes

A feed of the most recent entry creations, updates and deletions across the whole academy, plus a ranking of users with the most edits.

Filters & export

All widgets filter by team, day, entry type or coach, and the result exports to PDF or Excel.

Roles (ADMIN / COACH / ATHLETE)

Admin (ADMIN) sees and edits everything in the academy. Coach (COACH) edits only the teams assigned to them. Athlete (ATHLETE) has view-only access, with no editing rights.

Academy Manager

The first admin created in an academy acts as the "Academy Manager". Only they (or the platform owner) can create or demote other admins — a regular admin can manage coaches/athletes, but not other admins.

Per-team permissions

Coaches and athletes are assigned one or more teams when their account is created; this determines which teams they see and which they can edit in the schedule.

Relevant schedule changes (new entries, updates, deletions) appear as in-app notifications, with the option to mark them read one at a time or all at once.
